POSITION TITLE: Human Resource and Safety Specialist
DEPARTMENT: Talent Management
REPORTS TO: Talent Management Manager
POSITION SUMMARY: Responsible for general administrative duties within the Talent Management Department, including but not limited to, Payroll Processing, Associate Benefits, FMLA/LOA Procedures, Community Donations, Recruiting Assistance and Record Retention. Position leads the site’s safety culture in areas of training, compliance, and administrative procedures as assigned by the Talent Manager.
RESPONSIBILITIES AND AUTHORITY:
- Responsibility and authority as outlined in the Operational Procedures, Work Instructions, GMP manual and all Instruction manuals.
- Reviews weekly payroll and posts data from electronic timekeeping system using UKG/Kronos software. Examines weekly payroll records and reports for accuracy and integrity, correcting missed punches, reviewing excessive overtime, entering schedule patterns, etc. Confers with Team Leaders to resolve discrepancies. Communicates with corporate payroll partners as needed.
- Gathers data from daily staffing reports to reconcile contract labor hours to agency invoices.
- Updates attendance records daily. Researches associate occurrence balances and generates reports to determine perfect attendance qualifiers quarterly and yearly.
- Administrates associate benefits enrollment process for new hires, open enrollment and life event changes in a timely manner, ensuring eligibility deadlines are met.
- Schedules and conducts benefit presentations for new hire orientation and yearly open enrollment, ensuring associates receive relevant and accurate information, allowing them to make educated and informed election decisions. Assists in recruiting, interviewing and selection processes to fill vacant positions, as needed and/or requested by HR Recruiter or Talent Manager.
- Assists TM team with new hire orientation and all applicable required documentation for newly hired employees. Prepares new hire folders and creates and maintains associate personnel files. Separates and expedites appropriate copies to corporate payroll. Performs SAP data entry and issues badge access. Complies with all legal requirements.
- Conducts 30, 60, 90 day wellness checks with new hires, documenting associate feedback of new hire experience and reports responses to TM members to help drive ongoing continuous improvement efforts.
- Completes all applicable termination documents required for separation of employee(s). Complies with all required legal documents, separation statements, COBRA, EEO. Ensures post-termination documents are expedited to all separated employees in a timely manner.
- Administrates and maintains all LOA, FMLA, STD records and regularly communicates with inactive associates on leave updates and return to work information.
- Interacts with and answers employee’s questions regarding any human resource and/or payroll related issues. Directs employee’s to appropriate personnel for decisions outside of their specific function. Communicates and confers with other Human Resource Representatives as necessary.
- Owns record retention maintenance for the TM Department. Files documents for legal compliance. Discards and Reorganizes filing system as necessary. Responds with urgency to corporate legal team when requests for documentation are received.
- Administers and tracks community donations, partnering with TM and Site Manager for approvals.
- Completes gift card tracking log and submits tracking documents to Payroll Dept. monthly.
- Participates in associate engagement and retention initiatives, fostering a positive and productive workplace culture for all associates.
- Responsible for reporting food and product safety issues to personnel with authority to initiate action.
- Completes Near Miss closures weekly, researching and logging corrective actions through the company’s EHS portal.
- Schedules, Coordinates, Tracks and Documents annual training and certification requirements under the direction of site TM and corporate EHS leaders, for the following: Fire Drills - Audiogram Testing - LOTO Policy - Safety Commitment Letters - ARC Flash program - Emergency Response Planning - First Responder Certification – Other duties as assigned.
- Tracks monthly safety training completions and communicates regular updates to site leadership. Assigns supplemental training courses as needed. Participates in Monthly Safety Committee meetings.
- Analyzes safety data to create and conduct metrics-based Safety presentations to both small and large group audiences, highlighting the site’s overall safety performance (yearly).
- Site Wellness Ambassador- Administrates and maintains all programs. Assists Technical Trainer with new hire onboarding and OJT completions as needed. Performs other duties as assigned.
SKILLS AND ABILITIES:
- Degree from accredited college or university preferred.
- Two years of Human Resource experience in a production/manufacturing environment.
- Two years of Industrial Safety experience.
- Or equivalent combination of education and experience that provides the applicant with the knowledge, skills and abilities to perform the job.
- Excellent communication skills, both verbal and written.
- Strong problem solving skills and ability to work independently.
- Positive attitude and effective collaborator.
- Computer software proficiency in MS Office, SAP, UKG, Kronos, and Workday. Ability to work in a fast pace environment.
