Heidelberg Materials is seeking a 12-month temporary Maintenance Administrative Assistant . This position reports to the Maintenance Manager at the Cement Plant located in Delta, BC. This position is primarily responsible for the proactive administrative support for maintenance, and other departments as required. Additionally, this position is responsible for monitoring, ordering, shipping and receiving parts, completing work orders, cost tracking and analysis.
What You’ll Get To Do:
- Review and enter information to create requisitions for maintenance and production.
- Receive contractor time sheets for maintenance and production areas, with a lens to adherence to contract terms, cost tracking, review, and entry into SAP.
- Follow-up with contractors on status, discrepancies, missing information, etc.
- Assist with sourcing parts, sourcing vendors, obtaining quotes and providing to maintenance in a timely manner to meet delivery deadlines.
- Follow-up on status of parts orders, escalate as necessary.
- Make adjustments / corrections to existing orders in system.
- General administrative support to the maintenance team.
- Work with stores to support as needed.
- Follow all safe work procedures and policies to ensure an incident-free work environment.
- Other duties as assigned.
Who we are looking for:
- Over three years administrative, logistics or accounting experience in a fast paced environment preferred
- Manufacturing experience an asset
- Must have strong proficiency with MS Office, in particular Excel and Word, and solid computer proficiency in general
- Experience with SAP an asset
- Hourly timekeeping system experience an asset, i.e. Kronos
- Good communication and teamwork skills
- Vendor relationship and management experience preferred
- Must have strong organizational skills, able to prioritize to meet deadlines
- Ability to work in varied work environment, from shop parts room to office setting
Work Environment:
- Role operates primarily a professional office environment, but requires conducting business at manufacturing locations and job sites where the conditions include moving mechanical equipment, inclement weather, heat, humidity, and elevated noise levels
