We're looking for an Administrative Assistant to join our team!
As an Administrative Assistant, you’ll perform various administrative support functions for a management position such as typing correspondence, filing, and arranging meetings. Other responsibilities include project management, making travel arrangements, filing and routing incoming mail.
This position will be focused on the following:
- Communication:
- Handling phone calls, emails and correspondence to ensure effective communication.
- Maintain Calendar for shared office space and shared equipment.
- Mail:
- Opening and sorting incoming mail,
- Making special shipments and sending certified mail.
- Financial Administration:
- Processing invoices and managing petty cash
- Obtaining and uploading employee recipes
- Managing Office Supplies:
- Ordering and maintaining inventory of supplies and equipment
- Supporting staff with regular purchases such as bus passes and gift cards for people in service
- Document Management:
- Organizing and maintaining physical and electronic files.
- Data entry and record keeping
- Office Maintenance:
- Ensuring the office environment is organized and coordinating with facilities management if needed
- Vehicle maintenance:
- Ensuring the company vehicles are clean and well maintained, coordinating and scheduling maintenance when needed.
SCHEDULE: Monday-Friday 8:00 a.m. to 5:00 p.m.
PAY: $22-$24 per hour
Ideally, you should have:
- Associate’s Degree or equivalent, with additional specialized training in the secretarial field.
- Minimum of three years of experience in an administrative support position.
