Registrar/Data Specialist
The Registrar/Data Specialist works as part of a team of registrars who are responsible for the enrollment and tracking of students, coordination and communication of enrollment, record validation, reports generation, and entering and tracking curriculum data. The Registrar/Data Specialist will focus on assisting with data management, data curation, records management, and data visualization. The team is the central records facilitator for permanent academic information for all learners. This position may also assist with gathering information to respond to data calls and other administrative training support tasks (e.g., verification and support of graduation requirements and onsite support to ceremonies) to ensure the success of the training mission. Applicants must currently hold, and be able to maintain, a TS/SCI clearance with polygraph in order to be considered.
Primary Responsibilities
- Collect, compile, and analyze student training data and prepare reports for managers.
- Develop and curate information systems to ingest and track data, develop metrics on the data gathered, and report on the data.
- Conduct data entry of updates and additions to the curriculum data (course dates/times/locations/requirements/etc).
- Responsible for review, analysis, quality assurance, cataloging, and metadata management of holdings across the data lifecycle of digital and training assets.
- Monitor attendance patterns and provide timely and useful reports for managing student success.
- Provide quality control and quality assurance support for digital records and systems.
- Communicate regularly with senior managers to plan, organize and track the growing curriculum.
- Provide suggestions and improvements on increasing the efficiencies of workflows through both data management and insights gained from analyzing the data.
- Coordinate day-to-day support and operations of student enrollment requirements and perform course registration for continuing and new students.
- Review candidates for graduation to make sure all requirements for graduation are met and provide list of graduates to course directors and managers.
- Schedule classes and classrooms for multiple programs.
- Assist with the development of SOPs to support workflow processes.
Basic Qualifications
- Must currently hold, and be able to maintain, a TS/SCI clearance with polygraph.
- Possess a college degree or a HS Diploma with at least three years of relevant experience in either data entry, records management, program support, or comparable, a bachelors degree can be substituted for years of experience.
- Highly organized and detail-oriented worker with customer service experience, intermediate or better critical thinking skills, and demonstrated problem solving skills.
- Experience designing, developing, and analyzing datasets.
- Possess strong written and oral communication skills and experience communicating with a wide variety of audiences and levels across a variety of methods.
- Ability to identify vital records, categorize them, and develop tools to track, store, and retrieve them.
- Intermediate or better experience with Microsoft Excel.
- Demonstrated experience using Microsoft Office products.
- Experience with database tools like SharePoint or Oracle.
- Ability to work core hours (defined as an eight-hour day between 7am and 5pm) Monday through Friday.
Preferred Qualifications
- College degree in library science, information management, data systems, or equivalent.
- Strong communication skills with the ability to communicate across multiple mediums to explain options, recommendations, workflows, and rationale to decision-makers and experts.
- Data visualization experience, including using tools like PowerBI or Tableau.
- Data curation, including using tools like PowerQuery.
- Knowledge of and skill in various quantitative and qualitative data collection methodologies.
- Experience supporting Agile workflows and using common work tracking tools like JIRA and Confluence or the equivalent.
- Experience properly handling personally identifiable information.
- Desktop publishing experience.
- Prior experience in training or as a registrar.
- Able to support a Monday-Friday schedule working until 6pm (assumes an eight-hour workday and lunch/breaks)

Pay Range:Pay Range $65,000.00 - $117,500.00
