What you will do:
- Scheduling and optimization of all area Fire Alarm, Sprinkler and Special Hazard Suppression inspections
- Plan inspection portfolio 30 days in advance
- Input/Correct estimated hours to complete inspections during the scheduling process.
- Obtain written scheduling commitment with customers.
- Assign task in Optymus for all scheduling.
- Demonstrate the ability to prioritize scheduling backorders in addition to resolving customer issues.
- Reassign work as needed to manage customer's expectations making judgments based on current workloads and priorities.
- Request rental equipment and/or outside resource coordination.
- Oversee Inspector daily arrivals and job completion.
- Work through all job completion needs until closed and invoiced.
- Address all general Customer, Sales and AHJ inquiries.
- Review all new inspection system bookings for accuracy.
- Work with sales for any account updates or corrections needed.
- Pull inspection reports as requested.
- Save or File Inspection documents.
- Perform other duties as directed.
Required:
- High school diploma or equivalent.
- 5 years of administrative experience with a background in Project Coordination, Operations and/or Scheduling.
- Ability to analyze and solve problems with a high degree of accuracy. Must be able to assess issues quickly and provide solutions.
- Highly motivated self-starter with an eye for detail and excellent attendance/ability to work designated hours.
- Desire to learn and work independently with minimal supervision.
- Able to communicate effectively with all levels of end-users in a patient and friendly way to address questions/problems.
- Ability to multi-task and establish work priorities.
- Able to influence diverse teams to accomplish tasks/goals.
- Must have proficient computer skills in the following applications: Microsoft Word, Excel, PowerPoint, and Outlook
