HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:
- The Administrative Assistant III will support the office with limited autonomy and discretion conducting transactional work, both behind the scenes and with customers
- They will provide sole professional support and will interact with division and group leadership
- The candidate will be expected to professionally communicate verbally and in written forums
- The candidate will have no physical requirements and will be expected to travel to McLean and/or Warrenton, Virginia as requirements are needed
- A sponsor-owned vehicle is available for use. Intermediate proficiency user of Microsoft Outlook, Microsoft Office, SharePoint, sponsor internal training software, personnel access software, and asset tracking software is preferred
- The Administrative Assistant III candidate will be required to perform the following duties: update seating chart/phone roster; upon the arrival/departure of officers to/from office, conduct officer check-in/check-out/office orientation, responsible for submitting all personnel access requests for the appropriate system access changes, requests for internal system logins as needed
- Additionally, the candidate will assist the field engineers with enrollment in the required training courses to allow them to travel anywhere worldwide and keep records tracking current status and expiration dates of necessary training
- The Administrative Assistant III will be responsible to assist and guide field engineers with visa/passport applications, travel correspondence generation/coordination, medical clearance requirements, submittal of travel requests/travel vouchers, and reservation requests through the internal travel office for official travel domestically and foreign
- The candidate will be required to work with the field engineers requesting and obtaining access cards
- The office will be expected to lead the planning and support for retirements and award ceremonies as well as 'Hail and Farewell' activities
- The candidate will be responsible for scheduling of both internal and external meetings, and maintaining shared calendars/schedules, to include the shared personnel calendar, project schedule, and leadership calendar daily
- The Administrative Assistant III will be responsible for tracking and updating percent of travel for field engineers, tracking training costs and gathering annual training requests
- The candidate will be expected to draft for review reports pertaining to travel percentages, training costs, and training status; store and archive necessary personal information for officers pertaining to training, visa/passport information, training received and scheduled, and costs associated with training
- Additionally, the resource will be expected to develop, update and implement office administration Standard Operating Procedures
- The AA III will track/order office supplies, assist with renovation/office reconfiguration when necessary, and submit tickets for IT support
- The candidate will be expected to participate in the monthly and weekly project management reviews with the division and group leadership
- Further, the candidate will be expected to assist in meeting preparation of static content
- Additionally, they will be expected to lead the weekly scheduling meeting and manage the evolving project schedule
WHAT YOU'LL NEED TO SUCCEED:
- The position requires an active TS/SCI with Polygraph clearance
- HS Diploma and 3 years of relevant experience or equivalent combination of education and experience
- Office core hours are 09:00am -14:30pm
- Candidate must be able to operate in a team environment as well as successfully work on their own
- This position is on customer site
